We are seeking a Manager, Media Vendor Relations. This position ensures we have equitable and consistent relationships with our media partners and maintains reporting on our business relationship as well as compliance to all required terms. This role functions as a business manager, with a focus on relationship building while maintaining strong fiscal compliance both with agency and client(s) requirements.
This role will support our Media and Client Leadership teams, by driving seamless and synchronized operations with each media partner. The role will also oversee business management for agency fees and administrative requirements. The Manager, Media Vendor Relations is responsible for the adherence to all contractual requirements and ensure we are reconciling all activities per the agency standards and client(s) financial reporting requirements.
The ultimate output includes a seamless experience for our Media partners, clients and all related stakeholders (internal cross-functional staff) as well as an accurate balance sheet.
This role reports to the Senior Director, Client Operations. This is a client-billable function.
PRIMARY RESPONSIBILITIES:
- Business Management for all Media Partner/Vendor Relationships
- Liaison and single point of contact for vendors and internal teams regarding all business-related matters
- Accountable for media-related financial and contractual compliance
- Onboarding and training for anyone working with a Media Vendor
- Process and documentation lead for any and all media vendor relationships and workflows
- Business partnership steward with our media team(s), finance, client leadership, customer development, retail media, project management, and of course, our clients.
- Regular reporting and status oversight for all media-related business management activities
Performance Expectations
Business Management:
- Partner with the Client and Media leads, to assess the annual scope and ensure all media vendors are procured correctly and actualized in a timely fashion.
- Ensure agency and vendor payment terms are adhered to as per the agency contracts.
- Track and manage all vendor invoices to ensure the correct client purchase order is assigned as well as the internal vendor purchase order process is followed.
- Ensure all accruals are complete and timely (in collaboration with our finance partners)
- All related financial reconciliations (working with finance on financial data reporting and client-required reporting deliverables
Financials & Contract Compliance:
- Confirms the status of the client purchase order
- Confirm the status of the agency job authorization
- Confirm the status of the vendor’s contract and related invoices
- All related reporting
Client/Procurement Liaison:
- Proactively foster a relationship with all media vendors
- Serve as the key point of contact for all media vendors for all finance and billing related topics
- Participate in risk mitigation and awareness to ensure any outstanding issues are resolved
Onboarding and Training:
- Onboard new team members and clients on our reconciliation and media management contract and payment process
- Identify and deploy training to improve overall productivity (e.g. procuring a vendor)
- Manage and maintain ongoing ways of working and standard forums as it relates to business management and media relations
SKILLSETS REQUIRED:
- Bachelor’s degree in finance, communications, marketing, business or related field
6+ years of business analyst or operations experience, (agency or project management experience a plus) - Interest in the Agency, Operations and Media disciplines
- Excel reporting and presentation skills
Proficiency in Word, Excel and PowerPoint - NetSuite experience a plus
- Ability to manage time, adhere to strict timelines, multitask and work well under pressure
- Ability to partner with cross-functional teams as well as client teams (procurement)
- Ability to lead and drive alignment across teams and seniority levels
- Proactive nature in the seeking of work/responsibility
